2. The information we collect
We collect information you give us when you:

- Phone us: your name, contact details and a note of what we discuss.
We don't ask for sensitive information, such as health details, so please don't include it in our forms.
Our website is hosted by GitHub Pages. Like most web hosts, GitHub records your IP address when you visit, to keep the service secure. We don't use this to identify you.
3. How we use your information
UK data protection law says we must have a lawful basis for each way we use your information. These are ours:
| What we use it for | Lawful basis |
|---|---|
| Arranging and carrying out your collection, delivering Saving Bins and processing equipment you send by post | Contract: we need it to provide the service you've asked for |
| Issuing your Waste Transfer Note and your recycling, data destruction and carbon offset certificates | Legal obligation and contract: waste law requires us to keep transfer records |
| Invoicing and keeping financial records | Legal obligation |
| Answering your questions and enquiries | Legitimate interests: replying to people who contact us |
| Sending occasional emails with updates and news | Consent: only if you tick the box or sign up, and you can unsubscribe at any time |
| Keeping our website and records secure | Legitimate interests |
4. Data on the equipment you give us
Computers, phones, drives and other equipment often still hold data, which may include personal information about your staff or customers. We don't access, read or copy that data.
Every data-bearing device is securely erased with certified data erasure software, or physically destroyed, following National Cyber Security Centre (NCSC) guidance, and you receive a certificate confirming it. Read more about how we erase data.
For this data, your organisation remains the data controller and we act as your processor, handling it only to destroy it. Please back up anything you need before we collect your equipment, as erased data can't be recovered.
6. How long we keep your information
- Booking records and Waste Transfer Notes: at least two years after your collection, as waste law requires.
- Invoices and financial records: six years, for tax purposes.
- Enquiries that don't lead to a booking: [12 months].
- Email list: until you unsubscribe.
- Data on your equipment: destroyed as part of our service. We keep only the certificate records.
7. How we keep your information safe
We use appropriate technical and organisational measures to protect your information, including access controls, secure storage and staff trained in data protection. Equipment waiting to be processed is kept in secure premises. [Add details of your own security measures.]
9. Your rights
Under UK data protection law you have the right to:
